Protection of Personal Information of Our Shareholders

1. Our Policy

Yukiguni Maitake Co., Ltd. (hereinafter referred to as “the Company”) recognizes the appropriate protection and use of personal information as its important social responsibility, and in carrying out its various business operations, the Company shall comply with the “Act on the Protection of Personal Information” and relevant laws and regulations as well as various regulations including this Policy and the Company’s “Personal Information Handling Regulations ,” and shall strive to protect and use the personal information of shareholders including recipient names and shipping addresses of shareholder benefits (hereinafter collectively referred to as the “Shareholders, etc.”) in an appropriate manner.

2. Proper Acquisition

The Company shall acquire personal information of the Shareholders, etc. only to the extent necessary for its business through proper and lawful means.

3. Purposes of Use

The Company shall handle personal information of the Shareholders, etc. to the extent necessary to achieve the following purposes of use, and shall not handle such personal information beyond that scope.

  1. To respond to the exercise of rights by our shareholders and to fulfill the Company’s obligations under laws and regulations such as the Companies Act.
  2. To provide various benefits to the Shareholders, etc.
  3. To implement various measures to facilitate the relationship between “members of the joint stock corporation” and the “joint stock corporation” from the perspective of both parties.
  4. To manage the smooth provision of services to the shareholders, such as preparation of shareholders’ data in accordance with prescribed standards under various laws and regulations.

4. Restriction of Provision to a Third Party

In principle, the Company shall not provide personal information of the Shareholders, etc. to any third parties, except for the cases where it has obtained the prior consent of the Shareholders, etc., the provision of such information falls under Article 27, Paragraph 1 of the “Act on the Protection of Personal Information,” or the recipient is a party listed in Article 27, Paragraph 5 of the said Act.

5. Security Control Measures

The Company shall take necessary and appropriate security control measures by means, such as properly supervising employees and trustees who handle personal information of the Shareholders, etc., and also by appointing a person in charge of managing such personal information in accordance with the Personal Information Handling Regulations to prevent leakage, loss, or damage of and ensure proper acquisition and use of such personal information.

6. Procedures for Requests for Disclosure, etc.

The Company shall strive to respond to the following requests in an appropriate and prompt manner: Notification on the purpose of use of retained personal data concerning the Shareholders, etc.; disclosure of the contents of retained personal data, or records on provision of such data to a third party; correction, addition, or deletion of the contents of retained personal data in cases where the contents of such data are contrary to the facts; and cessation of use, erasure, or cessation of provision to third parties in cases where the Company has violated its legal obligations concerning retained personal data, or the Company no longer needs to use the retained personal data, or the rights or legitimate interests of the Shareholders, etc. are harmed or likely to be harmed.
